We’re Hiring! Medical Scheduler / Patient Services Coordinator

Are you organized, patient‑focused, and great at managing high‑volume scheduling in a medical environment? We’re looking for a Medical Scheduler / Patient Services Coordinator to support a busy pediatric practice and ensure every patient receives timely, accurate, and compassionate care.

This role is essential to keeping daily operations running smoothly and delivering an exceptional patient experience.

🔧 Key Responsibilities

  • Schedule appointments for all patients, ensuring same‑day visits for sick patients
  • Answer calls promptly and professionally following office scripts
  • Enter and update accurate demographic and insurance information in HealthFusion
  • Inform patients of outstanding balances and process payments over the phone
  • Coordinate with billing when patients have questions about balances
  • Check if patients are due for well‑child checkups (WCC) and schedule accordingly
  • Review appointment details (date, time, provider, location) with callers
  • Remind families to arrive early and bring necessary medical records
  • Notify the on‑call doctor when late arrivals occur after office hours
  • Work daily on the WCC list and track outreach and scheduled appointments
  • Enable patient portal access and direct calls to appropriate departments
  • Confirm next‑day appointments after 1 PM
  • Escalate clinical messages, lab results, and prescription refill requests appropriately
  • Follow ADHD medication protocols and visit requirements
  • Direct medication, lab, and form requests to the correct internal teams
  • Address fever‑related questions following standard procedures
  • Generate newborn notification forms and coordinate with internal staff
  • Manage return mail lists and act as a liaison between patients and the office
  • Use sound judgment when handling calls and patient concerns
  • Support additional administrative tasks as needed
  • Be flexible to work on‑call, weekends, and holidays
